As we expand our operations, we are seeking a Part-Time Executive Assistant with fluency in Japanese and English to support executive scheduling, logistics, communication, and stakeholder management. This role will be instrumental in liaising with Japanese stakeholders, including foundations, partners, and government agencies supporting SONGA Mobility.
Manage the daily scheduling, appointments, and calendar of senior executives.
Coordinate meetings, travel plans, and logistics for business engagements.
Ensure efficient time management by prioritizing key tasks and commitments.
Act as the primary point of contact for Japanese stakeholders, including foundations, business partners, and government agencies.
Facilitate clear communication between Japanese and Kenyan teams, ensuring smooth collaboration.
Assist in preparing reports, presentations, and correspondence in Japanese and English.
Organize travel arrangements, accommodations, and event coordination for visiting Japanese delegations and executives.
Support logistics related to business meetings, networking events, and international collaborations.
Ensure that all documentation and communication follow Japanese business etiquette and protocols.
Provide real-time translation during meetings (Japanese-English and vice versa).
Translate business documents, emails, presentations, and reports to ensure seamless cross-border communication.
Maintain confidentiality of sensitive company information.
Handle expense reporting and financial reconciliations related to executive travel and meetings.
Support special projects and strategic initiatives as required.
