Job Description

Job Purpose

We are looking for a Tendering Assistant to support our tendering team in preparing and submitting bids for construction and engineering projects. This role provides an excellent opportunity to gain hands-on experience in procurement, contract administration, and the bidding process. The ideal candidate should be detail-oriented, organized, and eager to learn about tendering in the construction industry.

Key Responsibilities

Bid Preparation:

  • Assist in the preparation of tender documents, including bid forms, pricing schedules, and technical specifications.
  • Assist in coordinating with various departments, including engineering, procurement, and legal, to gather necessary information and documentation for tender submissions.
  • Assist in ensuring that all tender documents are complete, accurate, and compliant with client requirements and company standards.

Tender Submission:

  • Assist in managing the tender submission process, including organizing and packaging tender documents for timely submission.
  • Assist in coordinating with internal stakeholders and external partners, such as subcontractors and suppliers, to gather required documentation and pricing information.
  • Assist in liaising with clients and project stakeholders to address inquiries and provide clarification during the tendering process.

Tender Tracking and Analysis:

  • Assist in maintaining a database of tender opportunities, including tracking key dates, deadlines, and outcomes of past bids.
  • Assist in monitoring industry news and tender portals to identify new opportunities and potential clients.
  • Assist in analyzing tender documents and feedback to identify areas for improvement in future bids and proposals.

Documentation Management:

  • Assist in organizing and maintaining electronic and physical files of tender-related documents, ensuring proper version control and confidentiality.
  • Assist in the development and maintenance of standard tendering templates, formats, and procedures.
  • Assist in generating reports and summaries of tender activities and outcomes as needed.

Administrative Support:

  • Provide administrative support to the tendering team, including scheduling meetings, preparing agendas, and taking meeting minutes.
  • Assist in the preparation of presentations, reports, and other documentation for internal and external stakeholders.
  • Handle general inquiries and correspondence related to tendering activities.

Qualifications

  • Bachelor's degree in business administration, Engineering, Construction Management, or related field.
  • A minimum of three years’ experience in tendering, bid management, or procurement, preferably in the construction or engineer in g industry.
  • Familiarity with tendering processes and documentation in the public and private sectors.
  • Strong analytical and research skills, with the ability to interpret technical documentation and specifications.
  • Excellent communication skills, both verbal and written.
  • Detail-oriented with strong organizational and time management abilities.
  • Ability to work independently and collaboratively in a deadline-d riven environment.

Proficiency in MS Office suite, particularly Word, Excel, and PowerPoint.
